The Problem

A 30-person sales team was managing deals across HubSpot, Salesforce, a Notion pipeline, Gmail, and a custom quoting tool — with zero automation between them. Every CRM update was manual. Deal stages, contact notes, follow-up tasks, invoice triggers — all done by hand, constantly duplicated, constantly out of sync.

The sales manager estimated the team was losing 22+ hours per week to admin alone. Deals were slipping because follow-ups weren't being triggered. Revenue was being left on the table.

What We Built

OpFlow Bridge is a custom automation layer built on n8n that sits between all five of their tools and acts as a single source of truth for deal state. When anything changes in any system, OpFlow propagates that change to every other system within seconds — no manual input required.

On top of the sync layer, we built AI-powered trigger logic: when a proposal is viewed but not responded to within 48 hours, an AI-personalised follow-up email is generated and queued. When a deal closes, the entire onboarding sequence fires automatically — contract generation, invoice creation, Slack notification, and project kickoff task assignment.
